Omni Echo Solutions, LLC — how we collect, use, disclose, and retain personal information.

Omni Echo Solutions, LLC (“Omni Echo,” “OES,” “we,” “us,” or “our”) provides AI-assisted communications, workflow automation, and related technology services to businesses, including residential property owners and property management companies. This Privacy Policy explains how we collect, use, disclose, and retain personal information when you interact with our website, contact us directly, or communicate with a business or residential community using technology operated or supported by OES.

When we provide services for a customer, such as a property management company or residential community, we generally process personal information on that customer’s behalf and under its instructions. In those situations, the customer determines the purposes for which the information is used. If you have a request concerning information associated with a particular property or community, we may direct the request to that customer so it can respond as the applicable business or controller.

1. Information We Collect

  • Contact and identity information, such as name, telephone number, email address, mailing address, and other identifiers you provide.
  • Housing and leasing inquiry information, such as desired community, unit type, move-in date, household size, budget, tour preferences, and information you choose to provide during a leasing inquiry.
  • Resident and account information made available by a customer or integrated system, such as unit number, account or ledger status, work-order information, payment-arrangement or communication holds, and other information needed to provide the customer-requested service.
  • Communications content and metadata, such as call recordings, transcripts, voicemail, text messages, emails, message status, date and time, consent records, opt-out records, and routing information.
  • Website and device information, such as IP address, browser type, device information, pages viewed, and ordinary web server or security logs. We may use cookies or similar technologies that are necessary for site operation, security, analytics, or functionality.
  • Business-customer information, such as account contacts, billing information, contract information, support requests, user credentials, and system-access information.

2. Sources of Information

We may collect information directly from you; from the property, community, owner, or property manager you contacted; from our business customers and their personnel; from systems that a customer authorizes us to integrate with; from telephone, messaging, email, hosting, and other service providers; and automatically through our website and Services.

3. How We Use Information

  • Provide, operate, configure, secure, maintain, troubleshoot, and improve the Services.
  • Respond to leasing inquiries, provide property information supplied by our customer, schedule tours, capture leads, and conduct customer-authorized follow-up communications.
  • Receive, document, route, and track resident maintenance or service requests.
  • Transmit customer-approved resident account notices, rent-balance reminders, and related communications when enabled by the customer.
  • Record and transcribe calls, maintain communication and consent records, investigate disputes, and support quality assurance and training, subject to applicable law and configured notices.
  • Authenticate users, manage integrations, prevent fraud or misuse, protect systems, and investigate security events.
  • Comply with law, legal process, regulatory obligations, and enforce our agreements.
  • Develop and improve our products using aggregated or de-identified information that does not reasonably identify an individual, customer, property, or community.

4. AI and Automated Services

Our Services use artificial intelligence and automated systems to communicate, summarize, route, classify, and assist with business workflows. For residential leasing, OES may apply criteria and business rules supplied by the applicable property owner or property manager, but OES does not independently establish rental criteria or make final approval, denial, reasonable-accommodation, or other legally significant housing decisions unless expressly disclosed and separately agreed. AI-generated information can be inaccurate, and our business customers remain responsible for their policies, criteria, and final decisions.

5. Call Recording and Transcription

Calls handled through our Services may be recorded, transcribed, summarized, and analyzed. We or the applicable customer provide recording or AI notices when configured or required. If you do not wish to be recorded, follow the instructions provided on the call or contact the applicable community or business through another available channel. We do not use voice recordings to create biometric voiceprints for identification unless we separately disclose that practice and obtain any consent required by law.

6. Text Messaging and Mobile Information

OES provides messaging technology used by our business customers and residential communities to communicate with people who have opted in or otherwise may lawfully be contacted. Messages may be sent from a dedicated number associated with the community or business you contacted and may be sent by OES on that customer’s behalf.

No mobile information will be shared with third parties or affiliates for their marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with third parties for their marketing or promotional purposes. We may disclose mobile information to service providers and customer-directed systems only as necessary to provide, secure, support, or document the messaging service or to comply with law.

7. How We Disclose Information

We may disclose personal information to: (a) the property owner, property manager, community, or other business customer on whose behalf we provide the Services; (b) service providers and subprocessors that host, secure, transmit, transcribe, analyze, support, or otherwise help us provide the Services; (c) customer-designated integration partners and systems; (d) professional advisors and transaction counterparties subject to appropriate confidentiality obligations; and (e) government authorities or other parties when required by law or reasonably necessary to protect rights, safety, or security.

We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising as those terms are used under California privacy law, and we do not use mobile opt-in or consent information for third-party marketing.

8. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, to follow customer instructions, to maintain consent and opt-out evidence, to resolve disputes, to secure the Services, and to satisfy legal, accounting, or contractual obligations. Retention periods vary by data type and customer requirements. When acting as a service provider or processor, we may delete or return customer data in accordance with the applicable customer agreement, subject to limited legal, security, and backup exceptions.

9. Security

We maintain commercially reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. No system can be guaranteed to be completely secure, and we encourage you to use appropriate care when sharing information electronically.

10. Privacy Rights

Depending on where you live and the law that applies, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information, and to appeal or opt out of certain processing. OES does not discriminate against a person for exercising a privacy right. To submit a request concerning information OES controls directly, email privacy@omniechoai.com or call (855) 666-4324. If OES processes the information only on behalf of a property owner, property manager, or other customer, we may forward or direct your request to that customer.

OES does not currently sell personal information or share personal information for cross-context behavioral advertising. If our practices change in a way that creates an applicable opt-out right, we will update this Policy and provide the legally required mechanism.

11. Children

Our website and Services are not directed to children under 13, and we do not knowingly collect personal information online from children under 13 except as may be provided by an adult in connection with a housing or resident-service matter. If you believe a child has provided information directly to us inappropriately, contact us so we can review the matter.

12. Changes to this Policy

We may update this Policy from time to time. The current version will be posted at www.omniechoai.com/privacy.html with its last-updated date. Material changes will be handled as required by applicable law.
